The job postings are one of four deliverables.
Every HireSharp package includes two job postings — a full version and a shorter version ready to post on LinkedIn or Indeed — plus a candidate scorecard, three outreach messages, and a full sourcing brief. All built from your specific role inputs. Previews of each are below.
A weighted evaluation guide tied to the specific requirements of this role. Use it to align your team before interviews — stops inconsistent hiring decisions before they happen.
| Criterion | Weight | What good looks like | Red flag |
|---|---|---|---|
| Phone & customer communication | 25% | Calm under pressure, clear communicator, handles difficult callers without escalating | Defensive or dismissive when asked about a difficult customer scenario |
| Scheduling & dispatch coordination | 20% | Has managed multi-person scheduling, comfortable with service software | No experience with field crew coordination or dispatch logic |
| Accounting & invoicing accuracy | 25% | QuickBooks experience, comfortable with AR/AP, catches errors proactively | Vague on accounting software — "I can learn it" without prior experience |
| Prioritization under pressure | 20% | Can describe specific examples of managing competing urgent tasks | Struggles to give a concrete example — answers stay hypothetical |
| Fit with small team culture | 10% | Comfortable reporting to an owner, used to wearing multiple hats, not waiting to be told | Expecting rigid role boundaries or corporate-style management |
Three distinct outreach messages calibrated to the role and seniority level. Different angles — use whichever fits the specific candidate you're approaching.
A complete brief for whoever is doing the sourcing — whether that's you, a recruiter, or an agency.
Ideal candidate profile
Someone with 3–5 years in a busy SME office — ideally trades, construction, or field-service. Comfortable being the only admin person, reporting directly to an owner, and managing a high volume of inbound calls alongside back-office responsibilities. QuickBooks experience and a calm phone manner are non-negotiable.
Where to find them
- Indeed.ca — highest volume for admin roles in mid-size Canadian cities. Post here first.

LinkedIn boolean search string
("office manager" OR "office administrator" OR "operations coordinator") AND ("trades" OR "construction" OR "plumbing" OR "HVAC" OR "field service") AND ("QuickBooks" OR "Sage" OR "scheduling") AND "Manitoba"

Phone screen questions
- What accounting software have you used, and at what level?
- Have you ever managed scheduling for field workers? What software did you use?
- What was the highest volume of inbound calls you've handled in a day?
- You're in the middle of invoicing and the phone rings with an upset customer. Walk me through what you do.
- What's the size of the smallest team you've worked in, and how did you find it compared to larger companies?
Early red flags to screen out
- No experience with accounting software — "I'm a fast learner" is not a substitute for QuickBooks at this salary level
- Only corporate or large-company experience — small office culture is genuinely different and not everyone adapts
- Expecting a fully remote or hybrid arrangement — this role is explicitly on-site
